Shanghai Hongqiao Zhenghan Law Firm (hereinafter referred to as ‘Hongqiao Zhenghan Law Firm’) was established in 1994 by the Shanghai Hongqiao Law Firm and established in 1998 by the Shanghai Zhenghan Law Firm in 2005, the overall merger of large-scale comprehensive law firm, is the largest and leading comprehensive law firm in Shanghai. It is one of the largest and leading comprehensive law firms in Shanghai, headquartered in Shanghai Securities Building in Lujiazui Finance and Trade Zone, and has branches in Guangzhou and Chongqing, with a total of more than 100 employees.
Zhenghan Law Firm is a law firm that adheres to the management mode of ‘integrated corporate system’. After the merger in 2005, the firm has achieved the specialisation of personnel, integration of departments, standardisation of work and sharing of resources that a large-scale corporate law firm should have from the platform to the system. -
Informatics Challenges
1. The information technology situation is complex, with multiple systems co-existing and business and financial management not being integrated:
(1) A large number of manual operations: no integration between OA, Imanager document storage system and Kingdee K3;
(2) Due to the separation of business and finance, the collaborative work between multiple departments is inefficient, such as invoicing application, querying historical invoicing information, matching invoicing and collection information, expense reimbursement, two-way traceability of business and finance as well as statistical analysis of reports, which makes it difficult (no BI tools).
2.The main problems faced by the business side:
(1) No CRM system (inconvenient invoicing management between the customer's parent company and subsidiaries);
(2) No project management system, difficult to fill in project resources, man-hours, cost aggregation and project profit analysis;
(3) Case filing and approval cannot be synchronised with the document system in real time, and case access rights configuration cannot be synchronised with OA;
(4) OA is not connected with ERP, and case checking and approval cannot be synchronised with ERP in real time;
(5) Invoicing applications are all offline, and it is not possible to associate customers, cases, contracts and financial systems;
(6) There is no case document template in ERP, and the same key information in the case cannot be reused;
3.The main problems faced in finance:
(1) Difficulty in matching the invoicing and collection information: due to the existence of the business form of invoicing the customer's subsidiary and payment by the customer's parent company. So there is a need for human matching between customer invoices and receipts. The current system has no effective way to deal with this business scenario. Basic for the use of Excel in the secretary of the business group, multi-round query to deal with the way.
(2) Invoicing needs to be handled manually: application and approval are operated in OA, which cannot be associated with Kingdee;
(3) Expense reimbursement all need to be processed offline: there are a lot of collection and payment problems and advance problems;
(4) Internal and external account set problem: internal management account set and external disclosure account set.

Solutions
1.Through NetSuite comes with the workflow to replace the role of OA in the approval of business and financial processes;
2.Use NetSuite CRM module to standardise the management of group customers and subsidiaries;
3.In NetSuite custom case project approval and ‘profit and flush query’ process to replace the original business system;
4.Connect with Imanager document system, after the completion of the project approval of all stages of the documents stored through the interface to Imanager;
5.The complete project management process: the use of NetSuite project management module to open and sales contract collaboration, project templates, resource allocation, project hours filled, expense reimbursement (business reimbursement, administrative reimbursement, on behalf of the payment), project profit analysis;
6.Complete invoicing application: automatically associated with the sales contract and the case project, financial colleagues through the drill down can view all the associated information required for invoicing;
7.Internal and external account management: NetSuite supports multi-ledger management, through the Mapping of two sets of accounts to meet the internal management and external disclosure.
